Discuss where the information comes from and how its currency is shown. Ask how staff recognise a plan change and what happens when an integration is unavailable. These questions help you understand both normal operation and the process when information needs checking.
Choose a simple scenario: a participant asks about an invoice that another staff member handled. Ask how a colleague finds the document, related correspondence and current status.
Notice how many screens, searches and systems are involved. A connected record is useful when it lets the person responding understand the situation and identify the next step.
Software evaluation should include the team process, not just the individual user experience. Ask how work is assigned, prioritised and handed over during leave or a busy period.
Use a sample job that has an outstanding question. Check whether the new owner can understand what has already happened and what they need to do next. Discuss permissions and which staff should be able to access each type of information.
Finish the demonstration by discussing the move from your current system. Identify the records you need to transfer, the checks you will perform and the people who will need training.
Ask for a clear explanation of implementation responsibilities, support arrangements and any requirements that affect timing or cost. Agree how you would validate a sample of migrated records before relying on the new system for daily work.
Use the same scenarios for each shortlisted platform. For every workflow, record whether it was demonstrated, how much manual work remained and which questions still need an answer.
Separate demonstrated functionality from a proposed configuration or a future feature. Then prioritise the workflows that cause the most repeated work in your business. This produces a more useful comparison than simply counting features.
